Preconstruction Administrator

We have an excellent opportunity for a commercial administrator to join our business in Leeds in a role that will work across our estimating and commercial teams. 

Location: Leeds

Hours: 37.5 Hours per week - Monday to Friday

At Kier Construction, we're proud to be the partner of choice for clients across the public and private sectors. With a strong presence in Yorkshire and a growing portfolio of regional projects, we're looking for a Pre-construction Administrator to support our dynamic team in Leeds.

Your role:

As a Pre-construction Administrator, you'll provide vital support across estimating, supply chain management, and commercial functions during stage 2 bids. You'll play a central role in document control, tender coordination, and maintaining accurate records.

Key responsibilities:

  • Review and structure tender documents received into Estimating folders and advise requirements to the Information Co-ordinators to create enquiry link.
  • Create Document Matrix per project, listing all documents received including title, number and revision – document to be updated as and when addendums / amendments received and maintaining version control.
  • Print out and file hard copy of tender documents – drawings and specifications.
  • Subcontract tracker document – populate with contact details and update throughout the tender process with dates enquiries issued, quotes received and any declines.
  • Send out tender enquiries – set up email template and issue using Viewpoint link created by the Information Co-ordinators.
  • Process any amendments received – manage the storage, printing and distribution to the Kier tender team and for enquiries arrange additional Viewpoint links, update the document matrix, and issue addendum enquiry emails.
  • Chase quotations to see who will be submitting quotes and by what date.
  • Set up enquiry / quote folders on Teams and file quotes received. Print quotes and file hard copy.
  • Archiving of records and tender documents.
  • Completion of standard company information, declarations and collating supporting information for ITT and pre-qualification submissions
  • Subcontract Supply Chain database management and maintenance of data.

What you'll need:

  • Experience with document control and version management.
  • Strong communication and organisational skills.
  • Proficiency in Microsoft 365 (Excel, Teams, SharePoint).
  • Ability to prioritise, multitask, and work independently.
  • A keen interest in construction project delivery and administration.

What we're looking for:

  • Possess an understanding of the practical application of document and version control procedures
  • Understand the need to be an effective communicator to liaise with multidisciplinary internal teams, client teams and sub-contractors.
  • Diligent, with exacting standards and high degree of accuracy.
  • Competent with the Microsoft 365 suite of tools, specifically Excel, Teams, and SharePoint
  • Well organised and initiative-taking with the ability to prioritise work, multitask and troubleshoot requesting support as required.
  • Good time-management skills
  • Interest in project delivery processes, project administration and the wider Construction industry
