We're looking for a Facilities Coordinator to join our team based in Ipswich

Location: Ipswich, Suffolk
Hours: Full-time - some flexibility on hours available if desired, just let us know when you speak to us.

As a Facilities Coordinator, you'll play a vital role in ensuring the smooth operation and compliance of our facilities management services. This position offers an excellent opportunity to coordinate essential activities whilst working collaboratively with contractors, clients, and internal teams. You'll be at the heart of ensuring performance standards are met and risks are minimised.

What will you be responsible for?

As a Facilities Coordinator, you'll be working within the Facilities Management team, supporting them in delivering high-quality operational and compliance management. Your day-to-day will include:

  • Coordinating planned preventative maintenance programmes and ensuring statutory compliance documentation is complete and up to date
  • Overseeing reactive works allocation and tracking performance to meet contractual timescales
  • Maintaining accurate financial records, raising purchase orders, and supporting invoice validation processes
  • Monitoring performance against KPIs and preparing supporting documentation for monthly reviews
  • Coordinating contractor visits and ensuring all safety and compliance documentation is in place

What are we looking for?

This role of Facilities Coordinator is great for you if:

  • You have previous experience working in a similar coordination role within facilities management
  • You're highly organised with excellent attention to detail and can manage multiple priorities effectively
  • You're proficient in Microsoft Office 365, particularly Excel, and have experience using CAFM systems
  • You have strong communication skills and enjoy building collaborative relationships with colleagues and contractors
  • You're comfortable working with data to identify trends and support performance reporting
